    2. Election of Officers for 2016:
    • President - David Brown has agreed to continue in this role and is duly elected
    • Musical Director - Chris Petch (Gavin, sec. Philippa)
    • Stage Manager - Gavin Hurley (Chris Petch, sec Susan)
    • Treasurer - Celia Dillon, BHS parent, has agreed to act in this role for 2016 and is duly elected



    3. Music Director and Stage Manager’s Report

    The report was discussed as attached. Points arising:

    • The front row of seating is to be reserved each night for conductors/school guests.
    • We will aim to record the CD by the end of term 4 and have song books ready for collection in early Feb. 2016
    • The song book and accompaniment books will be double checked for errors/formatting issues before distributing.
    • The song books will be sent out as pdfs so that extra books can be produced in schools if necessary.
    • The offer of support from BHS staff and students with choir preparation/accompaniment was once again made, especially where choirs are taken by non-specialist music staff.


    4. Treasurer’s Report

    The report was discussed as attached and accepted to be a true account of the organisation’s finances. Each school to be paid a dividend of $400 to cover the 2014 and 2015 festivals.


    5. General Business
    • Wiki - There was general agreement that the wiki is no longer a practical online platform for the NWF. Chris and Gavin to consider alternative options e.g Googledocs and Facebook.
    • Music Roadshow 2016. Dates for the roadshow were given. More details to follow soon.
    • Selection of music for 2016 to be discussed after the close of the AGM and a long list to be drawn up, from which the three massed choir conductors will make the final decisions.

    MUSIC DIRECTOR AND STAGE MANAGER REPORT ON THE 2015 NORTH WEST FESTIVAL

    Thanks to all those involved in this year’s festival, especially to massed choir conductors (Sue, Rachel and Ravil) and accompanists (Carolyn and Elizabeth) for all their outstanding work. The festival was a great success and enjoyed by staff, students and parents alike.

    Particular Areas of Success:

    • The programme flowed smoothly each night, finishing at an appropriate time.
    • It was great that so many choir teachers and staff were able to join us at Misceo’s each night following the concerts - this is a valuable opportunity to socialise and debrief that we will continue to offer next year.
    • An informal meeting/social for choir directors at Misceo’s at the start of the year proved successful for those that could make it. We will do this again in 2016.
    • Choirs had learnt their music in plenty of time, despite the festival being held slightly earlier in the year than normal, and therefore were well prepared when they turned up for massed rehearsals. Thanks to all the teachers who assisted with this, it was much appreciated.
    • Instrumental groups were similarly well prepared - thank you.
    • Punctuality of choirs at the massed rehearsals was excellent - thank you.
    • The inclusion of vocal warm-up exercises in the teachers’ song books. Hopefully this was seen as a valuable resource.
    • The decision to establish a committee to approve, or otherwise, individual choir music selections proved to be a worthwhile one. Generally the level and standard of music selected was appropriate. The committee remains concerned about repertoire that (a) contains lyrics/messages unsuitable for this age group; (b) is not best suited for young voices at this early stage in their development e.g extremes of pitch range, excessive use of chest/belt voice and (c) music, such as some pop songs, that is difficult to perform as an ensemble (intricate rhythms, vocal decoration etc). The music committee are specialist vocal teachers who are more than happy to advise and suggest repertoire to less experienced choral directors.
    • A reminder that the rules for music selection were revised last year and remain as follows:

    • No medleys
    • Music must be arranged or written specifically for the primary voice
    • Appropriate range for children’s voice and style for a choral festival.
    • Pieces that encourage the use of head voice.
    • Appropriate text

    • Thank you to all those who helped back stage, and for reinforcing our expectations regarding the rules for parents dropping off children on concert evenings. There were very few issues, other than some children arriving far too early on the evening of the concert despite being informed of the timeframe for this.
    • This year we successfully trialled a new system for collection of children after the concerts where those schools with the largest number of children remained on stage at the end of the concert and walked directly into the audience to join their parents. This prevented the large number of parents in M block after the concert seen in previous years, and the associated problems caused by overcrowded corridors, teachers unable to ensure safe collection of children etc. We will continue to use this system but it relies on children, staff and parents following instructions i.e no coats, bags or jerseys in the block on arrival for those exiting via the stage front. Parents must wait in their seats and the children be sent to them rather than come onto the stage to collect them, as happened on one night this year.


    For the future:
    • There was less student sickness this year, however a reminder that students who are ill or become ill on the day of the concert should NOT attend in the evening, even if they wish to.
    • It would be appreciated if schools can confirm the EXACT number of children in their choirs before the festival. Space on the choir staging is limited and it puts unfair and unnecessary stress on the stage management team if they are forced to accommodate a larger than expected group on the day of the concert.
    • The wiki site is still proving to be a difficult and impractical platform for communication between schools. We will look at a new method for 2016, most likely a Facebook page.
    • We will endeavour to have song books and CDs ready earlier next year.


    Suggestions for 2016:

    • New choral directors should get in touch with BHS in Feb, and come for some PD with the choral team. This can include help with selecting repertoire.
    • Again we would like to offer the services of the choral team and/or senior BHS students to assist primary schools with their choir preparation and/or piano accompaniment. Please contact Chris Petch as early as possible in the year if you would like to access this support.
    • Dates for next year’s festival:
    Massed Rehearsals: 7, 8, 9 June Concerts: 21, 22, 23 June
    Music Roadshow Week: Weds 11 - Fri 13 May
